Terms of booking & booking deposit for West Mead Cottage

By placing a booking with us (the property owner or his/her representative) you (the lead guest) and your booking party (guests) agree to the following terms and conditions as set-out. During your stay you agree to abide by the subsequent conditions as set-out. If you have any questions about booking with us, please contact us before making a booking.

To place a booking with us the lead guest must be at least 16 years of age. The maximum number of staying guests per room is illustrated on the booking form. Where the person making the booking is different to the lead guest taking up the occupation, the person making the booking may be held responsible for cancellation, non-arrival and damages as set-out within. Only the lead guest and the named booking party are allowed to use the property and its facilities, any third party visitors are only allowed access at our express permission.

To secure any booking we require a deposit to be paid in advance, this deposit amount is 20% of the total amount and is non-refundable.

Any booking made within 28 days of the holiday date must pay all funds in full.

Deposit payments must be 'cleared funds' before a booking can be confirmed. Deposits are only refundable under the conditions set-out here within.

Payments can be made online.

All guests agree to respect the privacy and peace of any neighbours and the owners at all times. We reserve the right to cancel a booking with immediate effect if guests are not honouring this agreement or causing a disturbance / nuisance to neighbours or the owners. Should we feel that any behaviour is deemed as inappropriate then we reserve the right to ask the guests to leave.

Check in & check out

Guests must check in and check out by the times stated below;

• Check in between: 3pm and before 7pm on day of arrival unless by arrangement.

• Check out by: 10am on day of departure

Cancellation & non-arrival conditions

Guest who need to cancel a booking should contact us as soon as possible. Deposits already paid are only returned in accordance with the following conditions;

• Before 28 days to check in, you cancel the booking and forfeit the deposit

• Within 28 days of check in, you will be required to pay the full balance.

Non-arrival guests will not be entitled to any sort of refund and it is suggested that booking guests take out appropriate holiday / cancellation insurance where required.

In the rare event we need to cancel your booking with us, please be aware that we cannot be held liable for circumstances beyond our control and that our liability to you is limited to the refund of any payment already made.

Changes to bookings

If you would like to amend your booking please contact us as soon as possible.

Extras can be added onto your booking at any time before your stay. Changes to the date are subject to availability and will only be available for certain dates. Peak periods will not qualify unless an additional payment is made to cover the full cost of the booking during these periods.

Wifi Fair & Appropriate Usage Policy

Where wifi internet access is provided, guests accept to use this access to the internet fairly and appropriately. We may monitor network performance and user usage in order to maintain a fair and high level of service to all our guests.

The internet access provided is intended for general use such as access to the world wide web, email, messaging, social media, light video / music / media streaming. It is not intended or ideally suited for heavy media streaming, online gaming, extensive downloads / uploads. Access to illegal activity or use of our network for illegal activity is not prohibited and will be reported to local authorities.

Damage & lost property

We reserve the right to charge the lead guest for any damage caused through the course of a booking by any member of the booking party. This includes breakages, spillages, stains, damage to furniture or fixtures and fittings or any missing items provided for the use of the guests whilst staying at the property. Any accidental damages should be reported as soon as possible in order to minimise damage and associated costs. Should any of these become apparent once the guest has departed then we reserve the right to make a charge to the guest.

Any lost property, if discovered and found, left behind by guests during a stay will be held for a period of one month. While we will make our best efforts to reunite lost property with their owners we accept no responsibility in replacing lost items and encourage guests to ensure they have all their belonging before checking-out. We may offer to post lost items via recorded delivery at the cost of the property owner, otherwise collection can be arranged.

Smoking

Smoking of any tobacco products including, but not limited to cigarettes, pipes and cigars is strictly prohibited throughout the accommodation and is in accordance with the Health Act 2006.

Service dogs

Service dogs are permitted.

Parking

Off road, onsite parking is provided. All guests and visitors accept that they park their vehicles at their own risk.

Your personal details & privacy

We are required to keep a register of guests over the age of 16 who stay with us; this includes full names and nationality, and/or passport numbers, place of issue, details of next destination if they are non-British, Irish or Commonwealth guests. This is in accordance with the (Immigration (Hotel records) Order 1972. These records are kept for a minimum of 12 months and in accordance with the DPA (Data Protection Act 1998) and the GDPR (General Data Protection Regulation).

Our policy surrounding the personal details you provide as part of any booking or enquiry through this website / or third party website, including the privacy of those details are explained and set out in our Privacy Policy which you can read here.

You accept that any entries you make to an onsite guest book, if available, will not contain personal information or details you would not want disclosed. Any entries containing personal details that may fall into the DPA and GDPR may be removed and destroyed.

Our right to cancellation

We reserve the right to cancel any booking without compensation, refund or reimbursement if the terms of these conditions are breached.

Housekeeping

There will be a service of the rooms on the 4th day of the stay for persons staying longer than 3 nights.

We would request that the cottage is kept in reasonable order and treated with respect. Should we feel that the cottage needs excessive cleaning after departure then a £30 minimum charge will be added to the account for this.

Tampering with Smoke Detectors

We reserve the right to take action against any guest or persons found to have interfered with any of the fire detection equipment within the cottage. If this has been found once the guest has departed then we reserve the right to invoice the guests accordingly.

Returning the Cottage Key

We would ask guests to lock the main cottage door and return the key to the main house. Should no one be available to receive the key we ask that the key is posted through the front door. Failure to return, loss or damage to a key could result in a £20 charge.

Noise

Although we wish for you to relax and enjoy the delights of the cottage during your stay, excessive noise will not be tolerated and we ask that loud music is not played any later than 10.30pm out of respect to the owners and neighbours.

Hot Tub – terms of use

Please note that whilst we have installed a hot tub for you to enjoy during your stay, they are by design a mechanical piece of equipment and can be subject to malfunction. Some faults are not always possible to repair immediately. If and when they occur, although we will endeavour to do our best to rectify the problem as soon as possible, it may not always be possible. We will not be liable for any inconvenience caused should, upon arrival or during your stay, the hot tub is out of action.

The hot tub for your comfort is maintained at 40 degrees in temperature.

It is checked and cleaned daily and any chemicals required will be included.

Children under 3 years of age are not permitted and children under 16 years of age must be supervised by a responsible adult at all times.

You are responsible for your actions whilst using this facility and the owners cannot be held responsible for any misuse or accidents whilst using the hot tub.

It is not advisable to drink alcohol whilst using the hot tubs, however should you wish to do so, this is at your own risk. Please be aware that no glass is permitted in the hot tub or immediate surrounding area and plastic glasses are provided for this use.

For hygiene reasons we ask that you shower before entering the hot tub.

Take care when entering and departing the hot tub as the surrounding area maybe wet and slippery.

Please do not add any soaps or shampoos to the hot tub water.

Should we find during cleaning that any glass particles or foreign matter are in the hot tub resulting in the hot tub to be drained this could incur a charge of £100.
